How long we keep your recordings

What is covered

Your voice recordings, and any voiceprint, voice model, or mathematical representation of your voice made from them. We treat all of it as biometric identifiers and biometric information.

Why we collect it

To evaluate your audition. If you are cast, to record your voice, build an AI voice model from those recordings, and license that model for the uses listed in Exhibit A. For no other purpose.

What destruction means

Permanent deletion from live systems, from backups, and from archives, plus written instruction to everyone we gave the recordings to that they have to do the same.

The destruction log

We log what was destroyed and when. We do not keep the recordings in order to prove we destroyed them.

How we store it

With at least the same care we use for our own confidential information, and never less than a reasonable standard of care for biometric data.

Who else sees it

Our engineers and processing vendors under written confidentiality obligations, the licensee commissioning this program, and one named end customer of that licensee. No one else without your separate written consent.

Getting it destroyed sooner

Ask us at any time and we do it within 30 days.

1. What we collect

We are collecting and storing your biometric information. Your voice recordings, and any voiceprint, voice model, or mathematical representation of your voice made from them, are biometric identifiers and biometric information. We are telling you this in writing because the law requires it and because you should know it.

2. Why we collect it, and for how long

Purpose. To evaluate your audition. If you are cast, to record your voice, create an AI voice model from those recordings, and license that model for the uses listed in Exhibit A. For no other purpose.

3. Retention schedule and destruction

This schedule is published at therecording.club voice program › retention policy and is publicly available, as the law requires.

3.1 Recordings and any voiceprint made from them are destroyed on the earlier of: the purpose in section 2 being met, or 3 years after your last interaction with TRC.

3.1a If you record sessions but never sign the Voice Replica License, the purpose in section 2 can no longer be satisfied. We destroy your recordings within 90 days of your last session, and we tell you when we have. Signing the license is yours to decline, and declining it costs you none of the wages you have already earned.

3.2 Destruction means permanent deletion from live systems, backups, and archives, and written instruction to everyone we gave them to that they must do the same.

3.3 We keep a destruction log recording what was destroyed and when. We do not keep the recordings in order to prove we destroyed them.

3.4 We store your recordings with at least the same care we use for our own confidential information, and never less than a reasonable standard of care for biometric data.

4. Who else sees it

Your recordings and any model made from them may be given only to: TRC's engineers and processing vendors under written confidentiality obligations; the licensee commissioning this program; and one named end customer of that licensee. No one else, ever, without your separate written consent. Each of them is bound by Exhibit A.

We do not hand over your recordings on an informal request. We require a warrant, subpoena, or court order, and we will tell you unless the law forbids it.

5. Your residence

We ask whether you live in Illinois, and whether you have lived in Illinois at any time in the past 5 years. We ask because Illinois has a specific biometric privacy law and your answer changes what that law requires of us. This is a legal question, not a question about you. It is never used to decide casting.

6. Language

6.1 You may read and sign this release in any language we offer it in.

6.2 The version you sign is the version that counts. If you sign a translated version, that translation is the operative document, not the English one.

6.3 If your language is not offered, tell us. We will provide an interpreter at our cost before you sign. You will not be asked to sign a document in a language you do not read.

6.4 You may keep this document and have anyone you choose read it with you before signing. There is no deadline to sign it and no penalty for taking your time.

7. Written release

I have read the notice above. I understand my voice recordings are biometric information. I consent to TRC collecting, storing, and using them for the purpose and for the length of term stated in section 2, and to the disclosures in section 4.

I understand that:

  • I do not have to sign this, and if I do not, I cannot take part in the program.
  • Signing this does not oblige me to sign the Voice Replica License later. Those are separate decisions and I am paid for my recording hours either way.
  • I may withdraw this consent at any time as to future collection, and may ask for what has already been collected to be destroyed, except for uses already made under a license I separately signed.
  • I am signing this before any recording of my voice is collected.
